Terms and Conditions of Membership

These Terms and Conditions govern the use of the membership platform operated by Veterans Outreach Support (VOS) (“we”, “us”, “our”). By registering for membership or using the platform, you agree to be bound by these Terms.

1. Purpose of the Platform

The platform is a professional membership network designed to support individuals and organisations working within the armed forces, the veteran community, and the wider support community. Its purpose is for members to share their contact details, aid collaboration across the region, and access and contribute content relevant to the community. It is not intended for direct public use by veterans or family members seeking personal support.

2. Eligibility and Membership Approval

Membership is free and open to not‑for‑profit and public sector organisations that support the Armed Forces community, including:

  • Military charities, Community Interest Companies (CICs), and Regimental Associations
  • Local Authorities and statutory services
  • NHS Trusts, ICBs, community health providers
  • VCSE organisations working with veterans, families, carers or wider communities
  • Regional and national partners delivering wellbeing, housing, employment, or social support
  • HM Armed Forces organisations

All contact information should include a corporate email address. Personal email addresses are not eligible, and your application will be declined. This is to protect the integrity of the site and to ensure GDPR compliance.

All applications are subject to review and approval. We reserve the right to:

  • Accept or reject applications at our discretion
  • Suspend or terminate membership where eligibility criteria are no longer met

3. Member Accounts

Members are responsible for:

  • Maintaining the confidentiality of login details
  • Ensuring information provided is accurate and kept up to date
  • All activity carried out under their account

We reserve the right to suspend accounts where misuse or unauthorised access is suspected.

4. Acceptable Use

Members must not:

  • Use the platform for unlawful, misleading, or harmful purposes
  • Upload or share content they do not have permission to use
  • Share confidential or sensitive information without appropriate authority
  • Attempt to gain unauthorised access to restricted areas or other user accounts
  • Approach members for the purpose of commercial gain

5. Content and Resources

The platform may include documents, courses, events, and resources provided by us or submitted by members (subject to approval).

Unless stated otherwise:

  • Content is provided for professional information and collaboration purposes
  • It must not be redistributed outside the platform without permission
  • We do not guarantee accuracy, completeness, or ongoing availability

6. User-Generated Content

Where members upload documents or submit content:

  • The member confirms they have the right to share that content
  • We reserve the right to review, approve, or remove content
  • Content may be moderated to ensure compliance with platform standards

7. Communications

By registering, members may receive:

  • Service-related emails (e.g. account updates, system notifications)
  • Optional newsletters or updates (subject to preferences)

Members may manage marketing preferences at any time.

8. Suspension and Termination

We may suspend or terminate membership where:

  • These Terms are breached
  • Membership is misused
  • Continued access is considered to pose a risk to the platform or other members

Termination does not affect rights or obligations accrued prior to termination.

9. Limitation of Liability

The platform is provided on an “as is” basis.
We are not liable for:

  • Losses arising from reliance on platform content
  • Service interruptions or technical issues
  • Actions taken by other members or third-party providers

Nothing in these Terms limits liability where unlawful to do so.

10. Changes to These Terms

We may update these Terms from time to time.
Continued use of the platform constitutes acceptance of updated Terms.

11. Governing Law

These Terms are governed by the laws of England and Wales.
Any disputes shall be subject to the exclusive jurisdiction of the English courts.
